The first response to a workplace complaint often shapes the entire investigation. Acting too slowly can expose people or evidence. Acting too aggressively can appear prejudged. A short, documented intake process creates room for a fair review.

Assess immediate risk

Determine whether anyone needs protection, medical support, a reporting-line change or a temporary work arrangement. Interim measures should be proportionate and should not look like punishment before facts are established.

Preserve the relevant record

Identify messages, files, access logs, policies and prior reports that may matter. Limit collection to relevant sources and preserve the material without altering metadata or circulating allegations unnecessarily.

Choose an investigator with credibility

Consider independence, subject knowledge, conflicts and the seriousness of the allegations. Define the questions to be answered without dictating the conclusion.

Tell the parties what will happen next, what confidentiality can realistically be offered and how retaliation concerns should be reported.
